Use Microsoft Teams and Live Chat to Share a Screen With Customers

How to make screen sharing work for sales and customer service?

Sometimes when you're on a live chat sales session or a customer support session, it makes sense to either see your customer's screen, or share your screen when guiding your customer through online support.

Now you can easily provide screen sharing to your customers right from a live chat session with Microsoft Teams.

You can do this in 3 easy steps:

Step 1.  Create a Meet now meeting in Teams.

Step 2. Using this meeting link, set up a shortcut in your live chat app.

Step 3.  Share this shortcut in a live chat session with your website visitor.

So let's get started.

1.  Create a Meet now meeting in Teams

First select Meetings from the left sidebar in Teams and choose Meet now.

Then click Join Now.

Copy your Teams Meeting link

Now select Copy meeting link.

Your link will look similar to this (note this won't work as we've disabled this team meeting link)

https://teams.microsoft.com/l/meetup-join/{your meeting id details}

Step 2. Using this meeting link, set up a shortcut in your live chat app.

Next, go to your Live Chat Settings within Microsoft Teams and select the Shortcuts tab.

Create your shortcut and name it something like "teams meeting".    Now grab your Team Meeting link and copy that url into an anchor tag that looks similar to this:

Once you save this shortcut, you can access your shortcut within a Live Chat session in Teams using the dropdown list icon:

Your Meeting invite will be formatted as a button that your live chat visitor can click.

Step 3.  Share this shortcut in a live chat session with your website visitor.

Now simply select this shortcut and send it to your website visitors.  They can join your Meet now meeting via that link even without the Teams application installed.

Once they shown, you have multiple options for sharing content like showing your desktop, a specific application, a whiteboard, or a presentation during a meeting.

To start sharing, click on the "Share content" button and choose whether you would like to share your computer audio. Next, select what you would like to share:

  • Screen: This option allows you to show everything on your screen.
  • PowerPoint Live: You can use this feature to share a PowerPoint presentation.
  • Microsoft Whiteboard and Freehand by Invision: This option allows you to share a whiteboard where meeting participants can sketch together.
  • Window: Choose this option to share a specific open window, such as an application you're currently using.

Once you have selected what you want to show, a red border will appear around the content you are sharing. Additionally, any notifications that might pop up during the meeting won't be visible to other participants.

When you are ready to stop sharing, simply click on the "Stop sharing" button.
